The Role:

The Document Management Specialist owns the document management and delivery process supporting Kapsch Transportation Projects. Tasks range from coordinating on-time document delivery, document tracking, and preparing formal document submittals in accordance to Kapsch internal standards and specific project requirements.

Responsibilities:

  • Coordinates and tracks document delivery through the life-cycle process for quality control, approvals, technical writing, publication, and archiving. 

  • Applies the Kapsch standard template to documents, including styles, naming, and numbering conventions.

  • Attends weekly internal project meetings and provides updates to the project team on the status of delivery items.

  • Organizes repositories to align with Kapsch document management standards.

  • Verifies that names, locations, and acronyms are consistent with customer contracts.

  • Creates document submittal packages.

  • Tracks document events in Jira.

  • Supports commercial project delivery by engaging in document delivery assignments.

What we are looking for:

  • Bachelor’s degree in Communications, English, or a related field, or 6+ years experience in equivalent role

  • 1 to 2 years of experience coordinating project deliverables

  • Proficiency with SharePoint and Jira to manage and track project documentation

  • Proficiency with Microsoft Word and Adobe Acrobat Pro

  • Excellent communication and coordination skills

  • Attention to detail, especially when multi-tasking

  • Ability to work successfully in a fast paced work environment

  • Demonstrated ability to follow instructions and procedures, and to use good judgement in the performance of assigned work

  • A team player who fosters good relations with other team members

Our top Candidates will have:

  • Familiarity with Jira, Confluence, and SharePoint

  • Transportation industry knowledge
